Privacy and data handling

Minimal collection. Controlled purpose. Auditable handling.

CEPA public routes are designed for non-confidential contact, membership, partnership, media and publication-related communication. The first stage asks for only the information needed to evaluate and route a submission.

What CEPA collects

Public forms collect the contact and organizational information shown on the form, submission time, application category, consent or acknowledgment state, workflow/audit metadata and limited technical information needed for security and abuse prevention. Stage-A forms are intentionally designed not to require identity documents, financial records, detailed addresses or uploaded files.

Why CEPA uses it

Information is used to receive and route inquiries, evaluate membership applications and partnership proposals, communicate about the submission, perform appropriate due diligence, maintain an auditable decision record, protect the service and meet applicable organizational or legal obligations.

Secure handling

Accepted membership and partnership payloads are stored in encrypted form in CEPA runtime storage. Public success is not returned until the application record has been durably written. Delivery notifications are operationally separate so a notification failure does not erase an accepted application.

Data minimization

Do not submit confidential technical data, trade secrets, controlled information, identity documents, legal notices or sensitive personal data through Stage-A public forms. CEPA requests additional evidence only when a later review stage requires it.

Marketing choice

Optional public-news or publication-update consent is separate from an application or proposal and is not required for review. Withholding marketing consent does not affect application screening.

Retention and access

CEPA retains information only for the period reasonably required for review, governance, audit, security, dispute handling and applicable legal obligations. Access should be limited to authorized personnel with a role in the relevant workflow. Retention rules may differ for active-member records, declined or withdrawn applications and operational security logs.

The CEPA news index stores and displays selected source metadata and outbound links. It is not intended to collect personal information from readers beyond ordinary service-security data. When you follow an external link, the destination publisher or institution applies its own privacy practices.
